Required Qualifications:

• Minimum College Diploma in an Accounting or Business-related field of study 3
• Strong knowledge of general accounting principles, terminology, and account reconciliations
• Minimum 2 years’ experience in an administrative accounting role
• Knowledge of QuickBooks, Simply Accounting and Microsoft Office 365
• Experience working with ADP considered an asset
• Experience working with SharePoint considered and asset
• Excellent written and verbal communication skills in English
• Intermediate Knowledge of Microsoft Excel required
• Intermediate Knowledge of Microsoft Word required, including experience in business document formatting
• Professional interpersonal skills, working well with people at all levels of the company including senior staff, in person, by phone, and email
• Strong analytical skills and attention to detail
• Ability to work independently as well as in a collaborative and team environment
• Strong time management and organizational skills with the ability to adapt to shifting priorities and manage changing workflow
• Ability to maintain a high level of confidentiality

Key Responsibilities:

MAJOR RESPONSIBILITIES (This is not an exhaustive list of duties to be performed)
• Provide accounting and clerical assistance to the Accounting and Fleet departments
• Work closely with the Fleet Manager to structure Fleet Accounts including costs, payments and other financial elements
• Monitor and reconcile Gas Cards, Float, and 407 ETR accounts
• Coordinate the preparation of Fleet budgets
• Assist in the preparation of documents related to the coordination of the delivery of company vehicles
• Maintain and coordinate Fleet Summary database
• Develop procedures to ensure efficiency of Fleet accounting
• Prepare and maintain accounting documents, records, and reports
• Perform account reconciliations
• Monitor account details for non-payments, delayed payments, and other irregularities
• Complete employee credit card reconciliations and post transactions into accounting system
• Assist in the accurate preparation of invoices according to the terms and agreements of client contracts
• Assist business development and account managers with contract formatting
• Respond to inquiries from vendors and staff regarding the status of payments
• Maintain accounting ledgers and post account transactions
• Assist with purchase requisitions, verify purchase orders with invoice and packing slips
• Serve as back up to AP/AR Junior Accounting Clerk, as necessary
• Other general Accounting and Account reconciliation duties
• Execute all tasks with high attention to detail
• Prepare reports at the request of COO and Company Owners
• Additional duties as assigned

Additional Details:

Full-time contract position for 12 months with the possibility of full-time employment at the end of the contract.
• An annual salary ranging from $40,000 – $45,000, commensurate with qualifications and experience;

• Vacation paid on bi-weekly deposit at 4%

• Typical hours of work are Monday – Friday 9am-5pm. May be expected to occasionally work outside of regular business hours to meet client needs
• Hybrid role – The Accounting and Administrative Assistant will be expected to work on-site in our Stoney Creek Office, with the occasional opportunity to work from home, of which the details will be coordinated with the Assistant Comptroller
